Banquet Menu

Menu Guidelines

Deposit

When applicable, deposits are required to guarantee your event and we will collect the charges in advance of the function date. Standard deposit arrangements are 20% at the time of the signed contract, 50% of estimated revenues due 30 days in advance, and the balance due four business days prior to the event along with the final guarantee.

Guarantee Counts

Final guarantee numbers are due four business days prior to the scheduled event. Your final guarantee number is not subject to reduction. If no guarantee number is received, The Penn Stater will consider the expected number to be the correct guarantee number. All charges will be based on the guarantee number or upon the actual number of persons served, whichever is greater.

Banquet Event Orders

Banquet Event Orders (BEOs) are the documents from which all of our departments work in order to successfully execute your function. Once you receive the BEOs from your event planner, please review them carefully, make a note of any changes, sign the bottom, then return to your event planner.

Service Charges and Tax

A service charge of 18% on food and beverage purchases plus the applicable 6% Pennsylvania sales tax (except for alcohol) will be applied to all events.

Tax Exemption

Groups requesting state sales tax exemption must submit a copy of tax exempt certificate at the time of contract signing.

Menu Generalities

Menu finalization - Menus must be finalized no later than three weeks prior to the scheduled event.

Market prices - Due to uncertain market circumstances, prices are subject to change without notice and substitutions may be necessary.

Regulations - In order to comply with local and state regulations, all food and beverage items must be purchased through The Penn Stater and serviced by The Penn Stater staff.

Carry-in and carry-out policy - The Penn Stater reserves the right to inspect and control all private parties, meetings, receptions, and other events being held on the premises. Due to food safety regulations, no food or beverage of any kind is permitted to be brought into the banquet and/or meeting rooms or to be removed from the property. To assure quality and freshness (and due to containment and travel conditions), PSHS makes no guarantee about, does not recommend, and will not be held responsible for the safety of any food taken out of The Penn Stater.

Menu minimums - If your counts fall below the published minimums, you will be charged for the minimum.

Multiple entrees - If you request your guests to have a choice of two entrees, the higher-priced entree will apply to all meals due to the additional setup and preparation involved. We require the specific breakdown of entrees from you four business days in advance with your guarantee counts. Entree indicators may be provided by the hotel.

Service parameters - All menus are based upon a 1 1⁄2-hour service period.

Pricing - All menu charges are per person. Food is replenished throughout the meal period.


Modified Menus - If you would like a menu with modifications from our printed menus, our chef will create a menu and price based upon your specifications.

Buffet Sets - Breakfast, lunch, and dinner buffets are set double-sided one per 100 people.

Bar Sets - Bars are supplied one per 80 people.

Standard Event Sets - Round tables of 10, white linen, white napkins, and a bud vase centerpiece. Colored linen and enhanced centerpieces can be arranged with your event planner.

Decorations - If you have decorations to be hung from the walls, it must be done by The Penn Stater maintenance staff. Please notify your event planner if you will be bringing such items. The hotel does not allow confetti, glitter, or similar items to be used in the function space.

The Penn Stater is a smoke-free environment.

Penn State Hospitality Services Alcohol Policy

General Beverage Procedures

All alcoholic beverages will be provided by Penn State Hospitality Services (PSHS).

Purchasing alcohol for “takeout” (for consumption off premises) at events is not permissible. All alcohol must be consumed in the location where the event is being held.

Alcoholic beverage service will be terminated one-half hour before the scheduled end time of the event for the safety of all invited guests.

PSHS requests an on-site contact person be designated for every event. This person should be authorized to act, in all instances, on behalf of the entire organization or group holding the event.

Alcoholic beverage service may not be provided for more than five hours throughout the course of any single event: for example, one-hour reception followed by four hours of alcoholic beverage service or, if no alcoholic beverage service is provided through dinner, beverage service could be provided from the point of re-opening after dinner for no more than four more hours.

Exceptions for events offering wine service with dinner and/or a champagne toast as part of a dinner may be reviewed by the general manager of the hotel for consideration. Bars offering non-alcoholic beverages may be provided for the entire duration of any event and charged accordingly.

ID verification is required for the table service of wine or champagne at all events where such services are provided regardless of the nature of the event or mix of attendees.

On-Premise Procedures for Outside Beverages

Alcohol purchased from a vendor other than Penn State Hospitality Services may not be brought into the restaurants or event areas. Any guests who attempt to do so will be asked to leave the restaurant/event area and will not be permitted to return until they have disposed of the outside alcoholic beverage.

Requests for the use of donated or special products must be reviewed in advance by the general manager and are subject to a corkage fee if approved.

Off-Premise Procedures for Outside Beverages

Procedures for Drinks Leaving the Bar Areas

Event attendees - All alcoholic beverages purchased in Legends must be consumed in Legends and may not be transported to banquet function rooms. Beverages purchased in an event must remain in the event location.

Hotel guests (not attending an active event) may take an alcoholic beverage to their room or other public areas of the hotel for consumption within the property. No more than two drinks may be taken out of the licensed establishment by any one hotel guest at any given time.

Alcoholic beverages cannot be taken out of the hotels with the exception of a re-corked, unfinished bottle of wine that was purchased with a meal consumed on the premises per PLCB regulation.

Student Function No Alcohol Policy

Penn State Hospitality Services does not provide alcoholic beverage service to student groups.

Guests age 21 or older may purchase alcoholic beverages in our restaurant outlets but may not transport those beverages out of the restaurant into the banquet room. Guests under the age of 21 consuming or attempting to purchase alcoholic beverages will be prosecuted.

No alcoholic beverages are permitted in the banquet room where the student event is being held. Any alcoholic beverage found in the banquet room will be confiscated by a member of the PSHS staff. If an alcoholic beverage is discovered in the banquet room, management may choose to terminate the event and will bill the group for the full guaranteed number of guests as agreed in advance of the function.

Carding Policies for Private Events and Legends Pub

Hospitality Services staff members will card any guest ordering alcohol that they deem to appear under they age of 30 in accordance with Pennsylvania law. Additionally, staff members may card any other guest ordering alcohol if they feel it is appropriate. Guests may be carded multiple times throughout an event, particularly if there is more than one bar station or bartender on duty. During high volumes of business in Legends Pub, as is frequently the case just prior to or after a large function in the banquet areas, our staff may require all guests wishing to enter the pub to present a valid ID, regardless of their age, for the safety and security of all guests. Minors must be accompanied by a parent or legal guardian in Legends at all times and are not permitted in Legends at all after 11 p. m., when food service ends. Last call for beverage service in Legends Pub is midnight.
